JIPMER Alumni Association UK is committed to ensuring your personal information is professionally managed in accordance with UK law. This policy provides information to you about how your personal information is collected and used within our organisation as well as the circumstances under which we would share it with third parties.


What personal information do we collect?


The personal information we collect generally includes:


Your name, address, contact details,information about your association with JIPMER as an educational institution.


Why do we collect personal information?


When you register as a member, we need to hold basic details for identification.We also use it to organise activities related to the objectives of JAAUK, including charitable activities, educational programmes, and social meetings. 


How we collect your personal information:


We will collect your personal information directly and in person, over the phone, by email, SMS, through our website or online communication channels, or through completed online or hard copy forms.


Who will have access to your personal information?


 All volunteers, office-bearers or staff. All individuals having access to any personal information will have signed a confidentiality agreement.


Who do we share your personal information with and when?


  • Statutory requirement to lawfully share certain personal information such as mandatory notification to HMRC if necessary.

  • Court subpoenas required or authorized by law, for public health or health and safety reasons as required by law.

  • During the course of providing charitable services.

JAAUK will not use your personal information for marketing purposes. We do send out SMS or WhatsApp reminders and email confirmation of appointments and these are not intended for marketing purposes.

How to access or correct your personal information:


If you wish to access or correct your personal information, we request that you put it in writing and contact JAAUK via email on contact@jaauk.org or addressed to Dr. Chetan Shatapathy, Data Protection Officer, 164 Oldham Road, Manchester, OL4 4DW. Your request for access will be processed within 10 working days.


How we store and protect your personal records:


Your information is stored in our organisation in electronic databases which are in a secure format. Our organisation takes appropriate measures to ensure that your personal information is secure, protected from misuse, loss, interference or unauthorized access.


How can you lodge a privacy related complaint?


Please do this in writing, with sufficient details to, Dr Chetan Shatapathy, Data Protection Officer, 164 Oldham Road, Manchester, OL4 4DW. We will investigate and respond within 30 days. If you are not satisfied with our response, you can contact us directly to discuss your concerns. You also have the right to lodge a complaint with the Information Commissioner's Office.
